When will 'Rollover Booking' button display in the more option list?

  • When the booking is created by using the 'Rolling' Tenancy Option

    •  Bookings that are created by using ‘fixed term’ tenancy option or fully customized tenancy option will never see this button
  • And when the booking's status is 'Resident'
  • Besides, when there is no rollover booking after the current rolling booking
    • Note: if there is a new booking following current booking due to after check-in amendment, then current booking can not rollover booking either. 
      • Staff should be allowed to rollover booking after the new booking


What will happen when click rollover booking button?

  • You will need to select the Academic Year for rollover booking

    • System will only allow you to select the Academic Year whose related year is equal to or later than the current booking's Academic Year
    • System will only allow you to select the AY that is an 'enabled' Academic Year
  • Select Tenancy Option
    • System will only allow you to select the 'Rolling' Tenancy Option under the selected AY
    • The same Rate Type TO as current booking's TO Rate type
    • The start date of the TO should be the same as the end date of the current booking's end date
    • The current bed should be linked to Tenancy Option
    • The Tenancy Option  status is ’Active‘
    • The Tenancy Option type is ‘Fixed’ 
  • Select the Service
    • System will only allow you to select the service cards which are configured under your selected Academic Year
  • Select the Installment Plan
    • system will only allow you to select the installment plans which are configured under your selected Academic Year
      • Note: if your selected installment plan configuration is 'due before booking confirmed', the due date will be changed to due today when the rollover operation is confirmed
  • Confirm the details for rollover booking
    • After confirm to rollover booking, the newly created booking status will be 'Booking Confirmed' directly
    • There will be no email sending out to student to notify them that they have a new booking confirmed booking. But when they login to their account, they can still see the new rollover booking on their student portal.
    • Note: when creating rollover booking, system will not read the configuration of 'additional fee', so there will have no additional charge for the rollover booking
      • Besides, If there is refundable payment item on the rolling booking, after the rollover operation has been confirmed, this refundable payment item will be transaferred to the rollover booking automatically.
