Introduction

This article is intended to introduce the new feature Group Level Email Configuration, , which roles can access the Group Level Email Configuration entry, how it can be configured, where property staff can see it at the Property Level Email Page after configuration is completed, and what other operations can be performed.



Who can see the Group Level Email configuration entry

Only roles with a status of enabled, specifically those with the Admin Master or Administrator role and full access permissions, can see the entry to access Group Level Email page.


How to access the Group Level Email configuration page

On any property level email template setting page, click the 'Switch to Group Level' button in the upper right corner of the page to enter the group level configuration page. 


Conversely, once inside, click the 'Switch to Property Level' button in the same location to return to the property level email configuration page.



How to add a new email template configuration on a Group Level


First, select which ’Group‘ (i.e Yugo - AU) you want to configure the Email Template for by selecting the drop down box in the upper left corner of the page



Second, click the '+' button in the upper right corner to add a new email, and enter the required fields in the pop-up window, including: 



  • Email Template Name 
    • Required Field
    • There is no requirement for duplicate Email Template names at Group Level, but please be careful when naming your Email Template
  • Email Template Description 
    • This is an optional field


  • Booking Category 
    • Required field, it is recommended that both values are checked 'Direct Let' and 'Group'
  • Theme 
    • Required field
    • It helps you to filter out the trigger point of sending an email
  • Scenario 
    • Required field, 
    • It is the trigger point value to decide when should this email be sent
  • Applicable Property 
    • Required field
    • Only properties belonging to this group can be selected
    • It determines which properties can be applied to this email
  • Folder & Subfolder
    • Required field
    • Only 'Property Landlord' can be selected by default for Group Level Email Template
  • Recipient 
    • Optional field
    • 'To' fields determine whether the email is sent to the student, the student's Guarantor, or the student's emergency contact


Finally, When editing the content, please note that each Group Level has built-in email style settings, including logo, font color, font size, button style, header, footer, etc.,  when edit the content of the email, please do not change any font color and size, the style of the real sent Email can be viewed from the Property Level.



How to edit the existing group level email template


First, select which Group you want to configure the Email Template for in the drop-down box at the top left corner of the page (with picture).


Second, select an existing Email Template and click 'Edit Basic Information' in the drop-down arrow in the upper right corner, except for the 'Applicable Property', you can only check new property value, you can't uncheck the already checked property (once the email has been enabled).




All the other fields on the page can be added, modified and deleted.
