Enabling Bookings After Allocation

Once the allocation is completed, the next step is to review the booking data to ensure everything is correct. After confirming the data, you will need to enable the imported bookings so they become visible and usable by staff or students within the system.


This step is also performed on the Import Records detail page. Open the corresponding Booking List from the selected Import Record. You can use filters to select a specific group or all imported bookings.


In the bottom-left corner of the page, you will find an Enable button. By clicking this button, you can set the selected bookings to Enabled status.


The Booking List also includes a filter column that displays the current Enabled status of each booking. You can use this to filter and identify any bookings that are still not enabled and perform a bulk enable action as needed.



Important Note: When Enabling Bookings

When selecting bookings to enable, make sure not to include any bookings that are already in the Enabled status. If you do, the system will return an error message indicating that some of the selected bookings are already enabled.


To avoid this, it is recommended to use the Enabled status filter to exclude such bookings before acting.



Final Step and Optional Onboarding Email

Once this step is completed, the entire Import Booking and Student process is finished.


The next step—sending the onboarding email—is optional. This step is intended to meet the operational requirements of some properties, but it is not mandatory within the import workflow.



Sending Onboarding Emails (Optional Step)

If you wish to send onboarding emails, you will first need to prepare an email template. Go to the Settings page and create a new template under Email Templates, configuring its content as needed.


If applicable, you can use our new variable: SetPassword. This variable allows students to set their account password through a link included in the onboarding email.


Once your email template is ready, navigate to the Booking List page and switch to Full View. On the far right side of the table, you will find a new filter called Onboarding Set. Use this filter to locate all bookings that have not yet received an onboarding email. These will have the Onboarding Set marked as No.


For these bookings, you can use the existing Bulk Send Email feature to select multiple entries and send onboarding emails in bulk.


⚠️ Important: When sending emails in this step, make sure to choose Send As Onboarding Email. Only by using this specific method will the system automatically update the Onboarding Sent flag from No to Yes after the emails are sent. This prevents duplicate onboarding emails from being sent to the same student in the future.
