Importing Validated Charges into the System

Once an Import Record has passed validation (i.e., its status becomes Validated), you can proceed to import the data into the system.

  1. Go to the Detail page of the validated record.

  2. Click the Import Now button.

  3. After a confirmation prompt, the system will begin the import process. This may take some time.


Import Result Status


After the import process completes, the status of the record will update:

  • Imported – The charge data has been successfully imported into the system.

  • Import Failed – The import process encountered an error.


If the status becomes Import Failed, you will need to investigate the issue. This can be done by either:

  • Downloading the detailed error file, or

  • Re-uploading the original file and repeating the validation and import process.


Common Reasons for Import Failures


Import failures may occur due to:

  • Server-side issues during script execution.

  • Data conflicts, such as changes made to the system or duplicate imports occurring between validation and import.


Regardless of the cause, the recommended solution is to re-upload the validated file and attempt the import again.



Finalising Imported Charges – Allocation Required

Although the Import Charge process is complete once the record reaches Imported status, this does not mean that the charge data will immediately appear under the corresponding bookings.


To apply the imported financial data to the bookings, you must:

  1. Go back to the Import Booking tab.

  2. Locate the related booking record.

  3. Run the Allocation process for that booking.


This step links the newly imported Charge, Payment, or Credit records with the corresponding bookings.

Only after a successful Allocation will the financial data be reflected in the booking details.
