Introduction

This document outlines the process of reviewing student applications within the Student Suite Approval Center, along with steps to approve or reject applications as needed.

Acceptance Criteria

Step 1: Access the Approval Center
On the left side of the page, a list of application tickets pending review is displayed. 

Select a ticket with the type "Booking Curation" to begin. 

  • Tickets marked as 'New' indicate newly submitted student applications awaiting review,
    • while a ticket's status remains as "New," the student will still be able to modify their information in the Student Portal. 
  • Tickets marked as 'In Review' represent applications that have been reviewed by staff but have not yet been approved or rejected.
    • while a ticket‘s status is ’In Review‘, the student will no longer be able to modify their information in the Student Portal.


Step 2: Start the Review

Clicking 'Start Review' will change the ticket status to 'In Review'.

The details page will display the student’s information and uploaded documents, as well as the guarantor’s information and related documents (if required).


Step 3: Approve or Reject the Application
During the review, you can select the relevant file, then perform either a Confirm or Reject action.

The application can only be approved once all uploaded documents have been confirmed. Otherwise, the system will prompt you that there are unreviewed documents. Please review them all before approving the application.

Clicking the ‘Approve’ button will 

  • Trigger the ‘Approve Booking Application’ email to be sent to the student, notifying them to sign the contract in the Student Portal. 
  • The booking status will then change to "Details Completed," and 
  • The bed will be placed in a ‘pending’ status.


Clicking the "Reject" button will 

  • Trigger the "Reject Booking Application" email to be sent to the student. 
  • The booking status will change to "Expired," with the reason stated as "Application Not Accepted.
  • The bed will still be available


Step 4: Reselect Bed/Room Type/Tenancy Option for Student

If the selected bed by student is not available at the time of approval, you’ll see the yellow banner

Please note: You must access the Booking Details page by clicking ‘Select Another Bed→’ within the Approval Ticket. Entering directly from the Booking List will NOT provide access to the below prompt.


Clicking the arrow in the yellow banner on the Booking Details page will open a modal for reselecting the bed. This process may also involve reselecting the tenancy option, room type, and then the installment plan.


Once the reselecting is complete, return to the approval ticket to finalize the approval.
