Viewing and Allocating Imported Bookings
Once the booking data has been successfully imported into the system, you can view the list of imported bookings by clicking the View All Bookings button on the detail page.
However, it’s important to note that these bookings are not yet fully active in the system. This means that if you go to the Booking Detail page for any of these bookings, you will not be able to perform any operations on them yet. They are simply imported data at this stage.
For these bookings, the next step is to perform Run Allocation from the detail page. This process will involve Import Charge & Payment, which we will explain in the articles here.
Important Note:
It is essential to ensure that all charge, payment, or credit records related to the booking are imported into the system before performing the "Run Allocation". Only then can you ensure the accuracy of the allocation data. To see how to import charges please see here. If you skip this step, there is a risk that items with a later due date may be allocated first, which could lead to incorrect allocation results.
For now, let’s assume that your charges and payments have already been imported into the system.
At this point, you can click the Run Allocation button, and the system will automatically allocate the corresponding charges, payments, and credits related to the bookings. This ensures that the balance and the status of the associated payment items are correct.
Allocation Process and Handling Failures
Similar to the import process, the allocation process will require some time for the system to process, and you may experience a longer waiting period.
As with the import, allocation can either succeed or fail. If the allocation is successful, the status of the Imported Records will change to Allocated, and you can proceed with the next steps.
If the allocation fails, you will need to click the Rerun Allocation button at the bottom of the detail page to retry the allocation process. Keep monitoring the allocation status to ensure it is successful this time.
Re-running Allocation
Another important aspect of the allocation process is that it can be executed repeatedly. In other words, after completing the first allocation, the corresponding Imported Records status will change to Allocated.
At this point, you can still import another batch of charges and payments and run the allocation process again. The status of the Imported Records will remain as Allocated, but the new data will be linked to the corresponding booking.
